Creating PO for out of stock items which have been processed already?

I am hoping someone can help!

 

We are currently selling on multiple plateform (eBay and Amazon) displaying unlimited stock levels. When we recieve any order, we will print and process (regardless if we have stock or not). Linnworks sends notification to the platforms to inform the order has been dispatched. Those orders which we cannot fulfil we keep in a file in our warehouse until stock comes back in which is normally within 48/72 hours.

 

However, how do we go about having the ability to create a purchase order for those items which are printed but out of stock and that we need to order more stock in for to clear the back order?

 

Would also be good to instead of printing the order, keep it on Linnworks BUT still mark as dispatched on the market places.

 

As I understand currently, although we may have 0 in stock of an item, if we had 2 orders requiring a total quantity of 5pcs, if we process the order the system will not pick up we need to order a minimum of 5pcs to clear the back orders.

 

Can anyone help please?

 Thank you for your question. The easiest way would probably be adding the items to a purchase order before the order is processed. You can keep the purchase order in 'pending' state until you have finished the day and wish to send the purchase order out.


 Alternatively, you could create the purchase order based on the file that you've created from unfillable orders. Unfortunately, there's no option to import purchase orders so you would need to copy-paste the information onto the purchase order.


 Furthermore, you could possibly duplicate the orders that are out of stock. The orders could also be imported using the file that you have on unfillable orders. Send the duplicate to a different folder with is excluded from the view. Process the original order in order to send despatch notes to the channel. This would mess up the accounting though since according to the data, every item will sell twice.


 When you process an order that has no stock then Linnworks assumes that you got stock from somewhere or handled the order externally. Generally, we don't recommend processing orders that are out of stock.

Just to confirm we would process as follows;

 

If we use the filter option on the left hand side "Stock Level Is 0", select all orders, right click and select "Create PO for out of stock", save the PO, print and process the orders. Is this correct?

 

I have created a pending PO for the out of stock items. However, in the afternoon I need to add to this. When I select add to PO for out of stock item, a pop up box opens asking if I would like to add it to a PO. However, the PO is of saved/open PO and NOT the pending PO I created in the morning.

 

I need it adding to the pending PO only.

 

Please advise

 The process is correct, but if you wish to add to the same PO later then before saving the PO then please make sure you check the box that's in front of "Pending PO" (by default it will go to open section rather than to pending).

 Even if the PO is in pending then you won't be able to directly add to it from open orders. However, in the open order screen when you choose to create PO for out-of-stock items then it gives you an option to export the data into CSV. If you have already created on PO and wish to add to it then exporting the data into CSV file is probably the easiest way. Then you can copy from the CSV and paste the info into PO.
